Many weaving units still run on old accounting software installed on one computer. Invoices and ledgers get done, but takas, beams, beam loading, weaver wages and mill accounts live in separate registers or Excel. Owners want to move, but the same questions come up: what happens to the old data? Will the staff have to relearn everything? Will work stop in between? Here is a straightforward order to do it in.
1. When to switch
- The start of the financial year (1 April) is cleanest — the new year's series in the new software, the old year closed in the old one.
- The start of a month works too. Just take openings as at that date.
- Don't pick the busiest week of the season. Switch before or after the rush around Diwali.
2. What data comes across
Hand over your old software's backup and we bring the masters and openings into the new system:
- Parties (customers, suppliers, brokers, transporters) with their GSTINs
- Qualities with HSN, yarns, looms
- Party opening balances and pending bills (bill-wise openings), so outstanding and interest are right from day one
- Bank and cash-in-hand openings
You don't need every old invoice in the new system. Keep the old software for reference; new work goes into the new one.
3. Match the openings — the most important step
After the import, check three totals against your old software's reports. Once these match, everything after runs smoothly.
Example
Old outstanding report as at 31-03-2027: 86 parties, total receivable ₹42,18,650.
- Open Outstanding in the new system for 01-04-2027 — 86 parties, total ₹42,18,650 ✓
- Bank opening ₹6,40,200 and cash ₹38,500 — from the old cash / bank book ✓
- Look at one large party's ledger bill by bill (say Radhe Textiles, ₹3,25,000, 4 bills) — due dates and days right too ✓
If anything differs, fix it on day one, not a month later.
4. Set up the unit
- Firm — enter the GSTIN; PAN and state fill in. Several firms in one unit go here too, switched with F7.
- Looms — add all looms at once in the setup wizard (01 to N).
- Yarns and qualities — reed, picks, width, ends, denier and standard weight.
- Workers — weavers, spreaders, warpers and their rates.
- Invoice print — your layout, logo and bank details, in the format your parties are used to.
- Team — each person's role and permissions; staff only from the office network, the owner from anywhere.
5. Staff habits
The keys your munim has pressed for years should keep working. Pick a keyboard style — Standard, Style 1, Style 2 or your own custom set — and Enter moves to the next field. Each user picks their language: Hinglish or English. On the floor a supervisor can enter takas from a phone; without internet the entry is saved and syncs later.
6. The first 15 days
- In the first week, check the day's sales, receipts and taka totals every evening.
- After the first month, give the GSTR-1 CSV to your CA and have it checked.
- If you need a report the way the old one looked, tell us — help is on WhatsApp.
Practical tips for a Surat weaving unit
- Check party GSTINs once after the import — a wrong GSTIN means the wrong tax.
- Cost one quality in the new system first; you can test your numbers in advance with the free Fabric Costing calculator.
- Start invoice series in the new software from the new year, not mid-way.
- Keep the old software's backup safe, at least for GST and income-tax records.
How this works in Loomiro
We import the masters and openings from your old software's backup. The setup wizard walks you through firm → looms → yarn → quality → workers → parties, and the dashboard reminds you what setup is left. Loomiro runs in the browser and on phones (a PWA — not an app-store app), data lives on the server, and each unit's data is kept separate. Roles and permissions, an office network lock and an entry lock date keep past records closed. Each unit pays one fixed yearly price, with a 15-day free trial — message us on WhatsApp for the price. Still have questions? Read the FAQ, see how it differs from old software, or book a demo — we'll show it on your own data.
